About this notice

This notice explains what personal information we may receive through this public website and how we handle it, in line with UK data protection law, including the UK GDPR and the Data Protection Act 2018 (as amended, including by the Data (Use and Access) Act 2025), and the rules on storing or accessing information on your device (PECR). It is a plain-language summary and not legal advice.

What this website does and does not do

This website is informational. It has no user accounts, no contact or enquiry forms, no newsletter, no comments and no online payments. It does not use analytics, advertising or tracking tools, and it does not set cookies.

Information you send us

If you email us at hello@softgather.com, we receive the information you choose to include, such as your name, email address, organisation and the details of your enquiry, together with the technical details that accompany any email.

We use this information to read and respond to your enquiry, to discuss possible work with you and to keep a record of our communications. We rely on our legitimate interests in responding to enquiries and running our business or, where you ask about our services, on taking steps at your request before entering into a contract. Please do not send sensitive personal information (such as health details) unless it is necessary for your enquiry.

Website and hosting data

Like most websites, this site is delivered by a hosting provider, which may process ordinary technical information such as your IP address, browser and device type and the pages requested, in order to deliver the website, keep it secure and diagnose problems. We do not use this information to identify you or build a profile of you.

Browser storage

This website stores one item in your browser's local storage: your light, dark or system theme choice (stored under the name “theme”). It is used only to remember the display setting you pick, stays on your device and is not sent to us or to anyone else. You can clear it at any time in your browser settings.

The website does not currently load fonts, images, scripts or other content from third-party servers when you visit it. If that changes, we will update this notice.

Who we share information with

We do not sell personal information. Information you email to us may be handled by the email and hosting service providers we use to operate our business, who act on our instructions, and we may disclose it where required by law or to protect our legal rights. If any provider processes information outside the UK, we will make sure the protections required by UK law apply.

How long we keep information

We keep enquiry emails for as long as is reasonably necessary for the purposes above, for example while we are discussing work with you and for a reasonable period afterwards, and then delete or archive them. We may keep information for longer where we need it to meet legal obligations or to establish, exercise or defend legal claims.

Security

We take reasonable technical and organisational steps to protect personal information, and our public website is a static site with no user data stored on it. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.

Your rights

Under UK data protection law you have rights over your personal information, which may include the right to:

  • be informed about how we use it;
  • access a copy of it;
  • have inaccurate information corrected;
  • have it erased in certain circumstances;
  • restrict or object to certain uses of it; and
